About the role
We are looking for a junior assistant who will provide structured administrative and operational support to the Executive Office to ensure reliable coordination, communication, and day-to-day execution. The role focuses on enabling leadership effectiveness through organization, discretion, and dependable operational support in a dynamic environment.
Your Responsibilities
  • Executive Support: Provide structured administrative and operational assistance to the Executive Office to ensure smooth and efficient daily workflow.
  • Calendar & Scheduling: Coordinate appointments, meetings, and scheduling arrangements to support leadership priorities and time management.
  • Meeting & Visitor Coordination: Organize meeting logistics, prepare rooms, arrange basic catering, and ensure professional reception of visitors and management teams.
  • Travel & Expense Management: Support international travel coordination, including bookings, visa documentation, itinerary planning, and expense claim processing in accordance with company policies.
  • Communication & Confidentiality: Facilitate communication with internal departments and external partners while handling sensitive information with discretion and confidentiality.
  • Operational Responsiveness: Respond flexibly to routine operational requests and adapt effectively to changing priorities in a fast-paced environment.
Essential Skills
  • Education: Completed vocational training or Bachelor’s degree in Business Administration, Management, Communications, or a related field.
  • Professional Experience: 1–2 years of experience in an administrative, coordination, or team support role.
  • Organizational Capability: Strong time management and ability to coordinate multiple parallel tasks reliably and accurately.
  • Communication Skills: Confident and professional interaction with stakeholders across different organizational levels.
  • Execution Quality: High level of accuracy and attention to detail in administrative processes and documentation.
  • Work Style: Structured, dependable, and proactive approach in environments with shifting priorities.
  • Language Skills: Fluent in German, English and Chinese (written and spoken).
  • Driving License: Valid driving license for occasional operational support needs.
Beneficial Skills
  • SAP Knowledge: Familiarity with SAP or comparable enterprise systems.
